Add enrollment date range for Student Data export in all classes

Is there any way to add a field in the student data tab that would allow us to export the student data for ALL classes and include a range for the enrollment date?  For example – enrollment date from 9/1/20 – 9/21/20?  This way I only see students who enrolled during that time and not all students who have enrolled in our courses? (I understand this is available for specific classes but I'm requesting the option when "all classes" is selected for export.)  Thanks!

    Hi Lindsay,

thank you for your feedback. We really appreciate it!

You are right, it's currently not possible to do that on the portal level, but there are a few workarounds I can offer.

    1) If you are doing this for all your courses (= exporting student data on the portal level), you could export it from Institution settings, then sort by Enrolment date in Excel (or similar) and remove the entries that out of the desired range.

For example, in my test portal, I'd like to get the data for students who enrolled in 2016:

    2) If you are doing this on the course level, then there are a number of exports available (depending on which data exactly do you need)

    Course setup > Exports

Some of these exports do allow setting a range of dates.

Hope this helps, please let me know if you have any further questions.

Alenka Prezelj Thanks, Alenka.  I will definitely be exporting all courses on the portal level.  I've been sorting the data as you suggested which is working for now, but as we start to ramp up our hiring I am worried that the export will become a very large file.  I'm going to be sending the data to various offices throughout the US on a daily basis so that they can confirm that their new hires (students) have completed the required training (courses).  We will be hiring hundreds of new employees in the coming weeks/months so the report will become much larger.

lindsayb Hi Lindsay, thank you for clarifying. I understand your concern. I believe you have separate courses for the branch offices, is that correct? In that case, I would recommend giving administrator access to somebody from a branch office for their course, so they can export the report themselves.

Alternatively, you can also give them just the facilitator access in which case can view the student progress in Administer students > Students, but can't export it. (only admins can)

      Would that work?

Alenka Prezelj Hi Alenka - Yes, that would be very helpful.  How can I give someone facilitator access?  Am I able to do it as an admin or does someone from OpenLearning need to make that change?

      lindsayb Hi Lindsay!

You can do this by first adding them to your institution as a staff member by following these instructions: https://help.openlearning.com/t/q5096t/how-do-i-add-someone-as-a-staff-member-to-my-institution

Then by adding them as staff in your course by following these instructions: https://help.openlearning.com/t/18prmg/how-do-i-add-staff-to-my-course-and-manage-their-roles
