Can I get an email when new students enrol in my course?

You can! While OpenLearning doesn't have the capacity to do this directly within the platform, it is achievable with an integration between OpenLearning's xAPI and Zapier.

About xAPI

xAPI captures a range of data called statements, based on different types of activity within the course.

About Zapier

Zapier is a platform that enables a range of different apps and platforms to talk to each other via APIs.

Note: Zapier is free for up to 5 zaps with 2 steps involved; beyond that, you need a paid account.

 

The steps below will outline how to set up the OpenLearning X Zapier integration, so you receive an email every time a student enrols in your course.


Step 1

You'll need to create an account on Zapier (it's free).

Step 2

Click on the invite link found in this help article: Zapier: Integrating with OpenLearning

Step 3

Scroll down to the bottom of the page and click Accept Invite & Build a Zap.

Step 4

Now that you've enabled OpenLearning within Zapier, click on Make a Zap!

Step 5 

Type in OpenLearning in the search box and select it from the dropdown. Make sure you select OpenLearning 1.0.3.

  

Step 6

Set the Choose Trigger Event to be Enrolment and click Continue.

Step 7

Click the dropdown and select + Add a New Account.

  Step 8

You need an API key for your account. To generate it, click the link.

 Step 9

Add in your OpenLearning username and password, and a description for your API key (this description will display in your OpenLearning account settings), then click Generate.

 

 

You'll then receive your API key. Note: Do not show or share this with anyone.

 

Step 10

Copy and paste this API key into the other page and click Yes, Continue.

 

 

Step 11

Head back to Zapier and you should now see your OpenLearning account listed. Click Continue.

Step 12

Copy and paste your course URL and click Continue.

Step 13

Click Skip Test

Step 14

In the Do This section, select Email by Zapier

  

Step 15

This is the email you'll receive when a new learner enrols in your course.

Fill in all of the necessary fields for your email.

If you click on the hamburger menu icon in the right of each section, you can grab data.

 

To: The email address you want to be notified about the enrolment

Subject: This is the email subject. We recommend:

{{1. Actor Name: Example Name}} has enrolled in your course

Body: This is the content of your email. We recommend:

Great news! {{1. Actor Name: Example Name}} has enrolled in your course: {{Course Title}}

Click Continue.

Step 16

Select Test & Review or Test and Continue. You should now receive a test email to the "To" email address you added above.

 

Step 17

Click Done Editing.

Step 18

Name your zap and then click the toggle to turn your zap on.

Step 19

Test out your zap!

Go to Administer Students > Students in your course, and invite someone to the course. (You can always create a test account to invite).

You should receive an email like this:
