What are Enrolment Vouchers, and where can you configure them?
What is the purpose of the voucher system?
A voucher system that allows institutions to distribute single-use codes that let learners enrol in any course within the institution for free.
- Learners can use the code to enrol on any one course in the institution for free.
- There will be no restrictions on which courses you can join in the institution.
- Each code can only be redeemed once.
- Course providers will be able to download sets of codes to distribute.
- Course providers will be able to review who and when a code has been used
- Course providers will be able to set expiry dates for codes.
- Course providers will be able to disable a set of code before it expires.
How to create the enrolment vouchers?
Step 1
Go to your Institution Settings page.
Step 2
Under Institution Marketing, click on Enrolment vouchers.
Step 3
Click the Generate new vouchers button.
Step 4
Fill in the details.
- Name this set of vouchers (required) - The name assigned to this set of vouchers for identification purposes.
- Number of vouchers to generate (required) - the total number of single-use voucher codes to be distributed to the learners.
- Code prefix (optional) - Voucher codes will be generated with the prefix specified
- Expiry date (optional) - If an expiry date is not specified, by default, voucher codes will expire in a year.
Step 5
Once created, click the Download codes button to download the list of newly generated voucher codes.
How to disable the enrolment vouchers?
Step 1
Go to your Institution Settings page.
Step 2
Under Institution Marketing, click on Enrolment vouchers.
Step 3
Click the toggle button to switch it from 'Enabled' to 'Disabled' for the voucher you want to deactivate.
How can the learner use the enrolment voucher code?
Step 1
Go to the Course Landing Page. Click the Join now button.
Step 2
Select the class to join (if more than one class is available), and then click Use enrolment voucher.
Step 3
Enter the voucher code and then click Continue.
If the code is valid, the voucher has been successfully redeemed, and the learner will be redirected to the course homepage.
Why is this important compared to a discount code? How might it be relevant for my team?
- Enables B2B sales by allowing the distribution of voucher codes in bulk.
- Facilitates alumni reengagement by offering exclusive access or benefits through vouchers.
- We're working to improve the current discount and access code experience to better meet learner and institutional needs. Currently, there are a few limitations we're addressing:
- 100% discounts aren’t fully supported. Even when offered, learners are still required to enter credit card details, an unnecessary step when the course is already fully covered.
- Access is limited to specific courses. At the moment, discount and access codes can only be applied to individual courses, rather than giving learners flexible access across an institution’s full catalogue.
- No usage limits. There’s currently no way to control how many times a code can be used, which can make it difficult to manage access effectively.
Who can generate vouchers?
Only institution admins can generate, download, and view the usage log of vouchers.
Is there a limit to the number of vouchers an institution can generate?
No limit.
Can I set an expiration date for vouchers?
Yes, you can define an expiry date when generating vouchers. By default, they expire 1 year from creation.
Can I revoke a voucher after distribution?
You can disable the voucher collection that contains the unused vouchers, but once redeemed, they cannot be revoked.
Can institutions restrict the courses that are available for redemption using enrolment vouchers?
No, vouchers apply to any course within the institution.
Can course providers see which learner used a voucher?
Yes, providers can track usage, including who redeemed it and when, by downloading the list of codes.
Can course providers disable vouchers before they expire?
Yes, they can manually disable a set of vouchers if needed.
What happens if a learner enrols in a course using a voucher and then drops out?
The voucher will still be marked as used and cannot be reclaimed or reused.
