Having Join In issues & Setting Specific Access Dates

Good Day!

I finally published my course. Very excited and my student is too!

Unfortunately, we are running into a few issues. It could be how I'm configuring dates or sign in, so I hope you can guide me with an email instruction, or a video that gives step-by-step instructions.

Problem 1: When prospective students want to join, I have it set up that they register externally, outside of the Open Learning system. I checked to make sure that the link goes directly to my registration page (see image attachment: external link 1 and 2).  However, the page/error has the link going to //course/reidreadycoaching/-reid-ready-training. It seems like the system automatically adds a prefix to the URL.

Problem 2: I want to set up access to modules, the course, announcements as follows, but for some reason, when I follow the instructions, students either can't access or the criteria is not met and everyone has access. Here is how I want to setup things up:

  1. Every student, no matter what class, has access to the Modules/Lessons
  2. Students can only see assignment uploads and class-specific comments for their class cohort
  3. Student area, all students no matter what class can interact, post and engage
  4. Have each class start on a particular date (I tried to set this up in different ways but it still either blocks all students from joining a class--they can't see the page, no matter their class interest, or allows anyone to see the course and try to join at any time). I want people to join a class at specific times (e.g., July Class M/W schedule 7/15, August Class T/Th schedule 8/1, etc...)
  5. I want to add due dates for assignments to be completed for each lesson in a module. In one Module, there may be 8 lessons over 4-weeks. At the end of the four weeks, I want the due date to be for all assignments in that module; In the next module, the due date will e different. \

Problem 3: For some reason, Lesson One in Module 1 does not have a "global" setting feature. The other Lessons do, however. See screenshot "no setting and setting"

Problem 4: I added a lesson to a module and now the Lessons are out of order. How do you automatically sort Lessons in a Module?

Problem 5: Can't see the image or understand the Access choices for Announcements clearly. I do know that either I can have everyone view or no one views, depending on what I select. Not easy to identify which selection is the right one for my needs. I need to be able to set access differently for each announcement. For example, some announcements run across all classes, some are for specific classes, some should only be viewable, others students can have the ability to post/write to a post, dependent on their class cohort. But, I don't see where to adjust or make those choices.

Problem 6: Still having issues with trying to delete pages or components of widgets. I have to remove the entire widget. Some widgets I already set up with complex features or lots of files, but then have to redo it because I can't delete just the component or file I don't need.

No Setting Feature for this Lesson in Module I...

...But, there is a setting feature in the other Modules and Lessons:

Not sure how to configure Announcement access as described above.

Error message when students try to log on after creating their profile. Students are already in the system because I sent them an invite.

Suggestion: Having the ability to make global changes throughout all modules or pages would be very helpful. For example, you have to go into each lesson in a module to set due dates or access criteria. It would be great if I could go into one area and set the access or due/start dates at one time for all lessons/pages in a module, and/or for multiple modules.

    Hi Dawn!

    Congrats on your course! :)

I will try to answer your questions by diving the answers in several parts.

    Problem 1:

All students need to register on our platform. You can post a link to your course or send them invitations, but they need to go to our website and create an account. Enabling students to sign in from a different website is part of our institution packaging and is a paid feature.

Alenka Prezelj  Hi Alenka, thank you so much for answering my questions. My issue is not that they have to register with OpenLearning. I expect that. But even after they register, students get sent to the "wrong" URL or something. I have where they can register on my site correctly added to the OpenLearning Platform so that after they create a profile with you, they should be able to join the class. But that does not happen. That is where I am having an issue. It says the page cannot be found for my external link, even though it is correct.

Dawn Reid Hi, can you share the link to your page so I can check out the link? I don't think it's possible to link the a specific class, but I can check for you.

Alenka Prezelj The link is: www.reidreadycoaching.com/reid-ready-training

Its a registration page in general. But, the course itself is there. So, since my course is setup to invite students, and when interested candidates go to the landing page, and click Join, they should be taken to my website as an external link---at least that's how I understood the process.

Dawn Reid I'm sorry, I don't see a link to the course on the page you provided. Can you tell me where to look?

Alenka Prezelj First, you have to scroll towards the bottom of the window. Then you will see the courses. Just click Register.

Dawn Reid Hi Dawn! From what I can see this registration is solely on your page. The course you created on OpenLearning is invite-only, which means that after your students complete the registration on your page, you need to manually invite them via the platform at Administer Students > Students > Invite by e-mail.

Enabling students to sign in from a different website is part of our institution packaging and is a paid feature.

Alenka Prezelj  Good Day. Regarding the registration, yes. I am aware. I followed the directions and my expectation was that once I invited students would be able to see the course. But the problem is that they still didn't see it. So, Student A clicks join, they are supposed to go to my site to register as the Join Button should take them to where they should register. That does not happen. So they never get to register.

So, if I am understanding your reply, you are saying the Join button will not take students to my site?

@Dawn Reid Hi! You mean the Join button on your website? No, you need to enter the e-addresses in the platform in Administer students > Students > Invite by e-mail.

    Problem 2:

    1. Every student, no matter what class, has access to the Modules/Lessons

    Yes, that is right.

    2. Students can only see assignment uploads and class-specific comments for their class cohort

    Yes.

    3. Student area, all students no matter what class can interact, post and engage

Students can only interact within the class that they're in.

Yes, that's possible. I'm not sure why it isn't working for you, but if you send me the dates for all your classes, I can set them up for you.

    5. I want to add due dates for assignments to be completed for each lesson in a module. In one Module, there may be 8 lessons over 4-weeks. At the end of the four weeks, I want the due date to be for all assignments in that module; In the next module, the due date will e different. \

Yes, you can set up dates for modules and pages. It might be easier if you send me the dates you'd like to set up for one module, I can set them up for you and explain how I did it. Might be more effective than me explaining in general.

Dawn Reid Hi, as you can see I set up the starting dates for you. It's not possible to set up an ending date, however, when you want to finish the class, you can go to Course setup > General > click on Change class next to the class you want to close, and choose No/ one (Close).

Alenka Prezelj Awesome. Thank you.  I know my student said he could not see a lesson so I will ask if he can see it now since you have added the dates.

Alenka Prezelj Yes. He is added to YS1CSA2018, July 9th.  I had the same exact issue when I set myself up as a student. I could not see the first lesson. Changing dates did not help. I'm hoping anything you did on the back end may work. We will see today.

Problem 3: For some reason, Lesson One in Module 1 does not have a "global" setting feature. The other Lessons do, however. See screenshot "no setting and setting"

Hmmm interesting. I'll need to investigate this further with our team. Will get back to you. Please note, there's no need to restrict these pages to "Members". Nobody can join your course without your invitations.

Problem 4: I added a lesson to a module and now the Lessons are out of order. How do you automatically sort Lessons in a Module?

Unfortunately, there's no automatic sorting. You can click and drag the pages when you are in Course setup > Content.

Problem 5: Can't see the image or understand the Access choices for Announcements clearly. I do know that either I can have everyone view or no one views, depending on what I select. Not easy to identify which selection is the right one for my needs. I need to be able to set access differently for each announcement. But, I don't see where to adjust or make those choices.

Announcements are class-specific. You don't need to use Access options at all. Just switch to a class where you want to post the announcement in, post, then switch to another class, and post there. You may need to refresh pages after you switch to a different class to see the right announcement page. Students comment on the announcements that you post. For announcements that you need to appear in all classes, Im afraid you'll have to copy/paste them in each class. I would suggest opening several tabs at the same time (one tab per class), and then copy / paste. Unfortunately, there's no way to disable commenting on announcements.
